    Ask ten ERP consultants what determines a successful implementation, and you’ll hear ten different answers. Requirements gathering. Solution design. Data migration. Integrations. Project management. They’re all important, but after leading ERP implementations across industries, we’ve learned that the biggest predictor of success is whether people are ready to do their jobs in the new system.

    That’s why we believe the most important letter in User Acceptance Testing isn’t the T. It’s the U.

    Technology Doesn't Go-Live — People Do

    An ERP system can be perfectly configured – every requirement documented, every integration tested – and the business may still struggle after go-live if users lack confidence in the new system. The workflows function as designed, reports are reconciling, but users continue creating spreadsheets, emailing coworkers for help, or delaying transactions because they’re not sure which button to click. From an IT perspective, the project is complete. But from the business's perspective, adoption hasn’t begun.

    Training and testing are often the hardest phases to manage because they rely on something consultants can't control: user participation.

    Business users already have full-time responsibilities. Training sessions are squeezed between meetings, emails, and daily operations. The sessions are conducted online for time and budget-saving purposes. Even when everyone attends, it's impossible to know whether they're engaged or passively listening in the background while working on more urgent tasks.

    Many users only test the "happy path" — the routine process they perform every day that has already become muscle memory. They don’t think about exceptions, edge cases, or unusual scenarios that become critical after go-live. Not because they don’t want to, but because testing a new system is extra work on top of their full-time job responsibilities. It’s hard to complete UAT in a limited timeframe without proper guidance.

    Training and Testing Should Never Be Separate

    At Opal Creek, we view training and testing as two parts of the same learning process: training builds knowledge and testing builds confidence.

    By going through training and testing at the same time, users immediately apply what they've learned. They also have the freedom to experience failure in a safe environment. Users can test the exception cases they’re seeing in their daily work. This reinforces learning while simultaneously validating that the solution supports the organization's day-to-day operations.

    The Opal Creek Training & Testing Methodology

    1. Dedicated Training & UAT Week

    Rather than spreading training over several weeks, we schedule a dedicated Training and UAT Week close to the go-live date. This keeps knowledge fresh and gives users uninterrupted time to focus on learning.

    Each participant receives a personalized training schedule based on their role and responsibilities. To avoid information overload, we try to limit each user to no more than three sessions during the week.

    Typical sessions include:

    • NetSuite Fundamentals – Navigation, personalization, search, native reports, dashboards, and basic system concepts.
    • Role-Based Business Processes – Daily operational tasks specific to the user's responsibilities.
    • Advanced User Training (Optional) – Advanced Saved Searches, reports customization, and productivity tips for power users.

    This role-based approach ensures users learn what they need without overwhelming them with features they'll never use.

    2. Make Training Engaging

    ERP training isn't something people look forward to, so we do our best to make it enjoyable.

    Every session includes:

    • Clear, easy-to-follow presentation materials
    • Live demonstrations using the client's own business processes
    • Recorded sessions for future reference
    • Interactive discussions and Q&A

    To keep energy high, we finish each training session with a short Kahoot quiz. People start discussing answers, asking follow-up questions, and revisiting topics they weren’t completely sure about. A five-minute game often generates more engagement than another thirty minutes of lecture. At the end, someone wins a small prize. This has consistently become one of our clients' favorite parts of training. encourages people to stay engaged throughout the session because they know they'll apply what they've learned.

    Learning should never feel like a mandatory meeting.

    3. Structured User Acceptance Testing

    Many organizations tell users simply to "go test the system." Unfortunately, that's rarely enough. Effective UAT requires structure. For every business process, we prepare detailed testing scripts that guide users through realistic business scenarios.

    Each script documents:

    • User role
    • Business objective
    • Step-by-step process
    • Expected results
    • Actual results
    • Issues identified
    • User feedback
    • Final approval

    These scripts also serve as documentation that the agreed solution meets the original business requirements.

    Equally important, they ensure testing covers both standard operations and exception scenarios that users may not think to validate.

    4. Guided UAT Sessions

    One of the most effective parts of our methodology is what we call Guided UAT. Guided UAT resembles a driving lesson more than an exam. We’re not sitting beside users waiting for mistakes. Instead, we’re helping them build confidence while the stakes are still low. Questions that might feel uncomfortable after go-live become learning opportunities during testing.

    A typical session follows this pattern:

    1. A brief walkthrough of the business process.
    2. The user completes scenarios from their recent real-life work experiences.
    3. Our consultant observes, answers questions, and offers guidance only when necessary.
    4. Together, we discuss improvements, capture feedback, and confirm expected results.

    Our goal isn't to perform the testing for the client. Our goal is to help users build confidence until they can complete the process on their own.

    We often compare this to a fire drill. Fire drills aren’t conducted because anyone expects a fire this afternoon. They’re conducted because people perform better under pressure when they’ve already practiced. ERP go-live is no different. Go-live should never be the first time users perform their daily work in the new ERP system. When users have already completed their daily processes multiple times during training and testing, the Monday morning after go-live feels familiar instead of stressful.

    Why This Approach Works

    Embedding training within testing creates several advantages:

    • Faster user adoption after go-live
    • Higher user confidence
    • Earlier discovery of process gaps
    • Better communication between business and implementation teams
    • Fewer post-go-live support requests
    • Reduced operational disruption
    • Greater long-term return on the ERP investment

    Perhaps most importantly, users begin to feel ownership of the solution because they helped validate it.

    That ownership makes all the difference.

    Final Thoughts

    User Acceptance Testing is training. Getting users into the system and having them test their real scenarios before go-live is the best way to navigate the Valley of Despair after go-live. When users have already navigated the system, asked their questions, and worked out complicated processes before go-live, they will use the system more deftly the Monday morning after go-live.

    In User Acceptance Testing, the most important letter has always been U.
