    Full-Cycle Accounts Payable in NetSuite with Bill Capture

    Many organizations can run AP at scale inside of NetSuite.

    If you're using NetSuite for bill approval, 3-way match, payment recording, and bank file processing, but feel you might need a third-party solution like Bill or Coupa, consider NetSuite Bill Capture first. Adding its ability to scan and capture invoices to the rest of NetSuite's Accounts Payable functionality will allow many organizations to keep their Accounts Payable process in NetSuite even as they scale operations. In this essay, we walk through setup and operation, compare Bill Capture with some third-party solutions, and talk about its limitations.

    How Bill Capture works

    Bill Capture reads vendor invoices in PDF, JPEG, and PNG format and pulls the key values into a draft Vendor Bill. It runs on optical character recognition together with the Oracle Cloud Infrastructure Document Understanding Custom Generative Model, which detects and extracts the fields. You upload files or email them into NetSuite, and the system matches each invoice against open purchase orders and receiving records so the data gets checked before payment. Recognition improves as the model learns from your earlier vendor invoices.

    Setting it up

    To enable Bill Capture, first confirm you have enabled the required features. Go to Setup > Company > Enable Features and validate or turn on the following:

    • A/P (Accounting subtab)
    • File Cabinet (Company subtab)
    • Custom Records, Client SuiteScript, and Server SuiteScript (SuiteCloud subtab)

    With the prerequisites enabled, turn on Bill Capture (Accounting subtab) and finish the configuration:

    • Set your Bill Capture preferences to control how scanned invoices display and how fields like currency populate.
    • For an AP mailbox, install the Transaction Email Capture bundle. Go to Customization > SuiteBundler > Search & Install Bundles and install Bundle ID 459771.
    • Enable the Transaction Email Capture plug-in at Customization > Plug-ins > Manage Plug-ins.
    • Set the Transaction Email Capture preference. Choose your AP inbox as the recipient and the email notification sender under Setup > Company > General Preferences in the Custom Preferences section.

    Working with scanned bills

    AP users validate and complete Vendor Bills on the Scanned Vendor Bills page. They click the Review link on a line to check what the system recognized, edit anything that needs fixing while looking side by side at the NetSuite record and the original source document, then click Create Bill. The Vendor Bill saves. At this point, whatever you have set up for Vendor Bill approval takes over.

    Considerations

    Bill Capture has some notable limitations, including:

    • Available only in the United States.
    • File rules are strict. PDF caps at 30 pages, JPEG and PNG at one page each. One bill per file, so files holding multiple bills are not supported. Files cannot exceed 8 MB. Upload up to 50 files at a time for best performance. For email, 20 attachments maximum, each under 8 MB, with total email size under 10 MB.
    • Serial and lot numbered items, bins, and inventory status are not supported on standalone bills (bills with no associated purchase order).
    • Mandatory line-level custom fields are not supported on standalone bills.
    • Parent matrix items are not available for selection on the Review Scanned Bill page.
    • The Review Scanned Bill page does not support customization.

    The bottom line

    For a team already on NetSuite, Bill Capture can improve AP efficiency enough that you won’t need to upgrade to a third-party solution. It cuts manual entry, speeds up bill creation, and needs no implementation project. For small to mid-sized US businesses with straightforward AP, it’s the right option.

    When volume climbs or requirements grow, you start needing things Bill Capture does not cover, such as advanced approval routing beyond the native workflow, multi-currency capture, or deeper customization. That is the point to weigh NetSuite's broader AP Automation or a third-party platform. Map your current AP pain, your growth plans, and your automation goals, and the right fit gets clear.
